How to Create an Invoice Online in Under a Minute

The whole flow

Steps 2 and 3 are the only ones that take real time, and the preview beside the form updates as you type — you are never guessing what the finished document looks like.

Step 1. Open the builder

Go to kinvoice.app. The invoice form is the page itself: no landing page to get past, no account, no email, no trial countdown.

The number, issue date and due date arrive pre-filled with sensible defaults. Overwrite them if you have your own scheme — the format worth choosing is covered in how to number invoices.

Step 2. From and Bill to

From is you: legal name, address, tax identifier if you have one.

Bill to is the client — and this is where invoices most often go wrong. Use the client's full legal entity name, the one their finance department knows, not the brand on their website. If you are unsure, ask; a rejected invoice costs a fortnight.

Step 3. Line items

One line per thing you delivered: description, quantity, rate. Totals recalculate as you type, in the currency you selected.

Write descriptions for a stranger. The person approving your invoice was usually not in the meetings, and "Consulting services — 3 000.00" gets queried where "UX audit, 1 × 1 200.00" gets paid.

Step 4. Theme and language

Themes change the look of the document — typography, accent colour, layout of the header — without touching a single value you entered. Four are available in the free mode; the preview updates instantly, so pick by looking rather than by name.

The document language is separate from the site language, and you choose it with the language buttons. Switching it translates the printed labels — Invoice, Bill to, Subtotal, Total due — while leaving your text exactly as you wrote it. A client in Yerevan can receive an invoice in Armenian without you learning the word for "subtotal".

Step 5. Download

Press download and the PDF appears in your downloads folder.

What did not happen: your data was not sent anywhere. In guest mode the document is assembled by the page already running in your browser — you can watch the Network tab stay quiet while the file is produced. What the free mode does not do

Worth knowing before you hit the edge of it:

The free mode is a complete invoice generator, not a demo. It has one structural limitation, and it follows directly from the privacy guarantee: nothing is stored, so nothing can be retrieved. Close the tab and the invoice is gone.

When the free mode stops being enough

Roughly at the point where you are re-typing the same details every month, or somebody asks for "all invoices for the second quarter" and you start opening folders.

A PRO account fixes exactly that: the company profile holds your details and bank accounts so they fill themselves, numbering advances on its own, saved invoices live in a searchable journal, and any period can be downloaded as a single ZIP — which is usually what an accountant actually wants.
